We have some great things to share with all of our partners, and more to come later! Here is a quick update on the new customer-recommended product enhancements.

Registration Update: Program-level Team Personnel Questions

Need different program-level registration questions for your Team Personnel roles?

Whether it’s a Recreational versus Competitive Head Coach, a soccer versus a baseball Assistant Coach, or other team personnel roles, you’ll want to target each role with the accurate questions.

Another customer-recommended enhancement, our program-level team personnel questions allows you to ask different questions, by program, for the same volunteer role.

Our standard team personnel roles (Head Coach, Assistant Coach, & Team Manager) can be displayed for any registration program. In short, when a single role is made available across different programs, an admin can ask a different set of questions specific to that program rather than creating a duplicate, custom role. Â

So, how do I do it?

Admins can edit team personnel questions by either selecting the ‘Team Personnel’ option from the Registration tab and navigating to the desired role, or from Step 4 in the Registration Setup Wizard, where you can edit the team personnel questions.

 

Scheduling Update: Total Number of Games Per Week

Organizations that schedule games during the week need to limit how many weeknight games can be played. When using our fully-automated (pairing with date, time, & field) game scheduler, you can ensure your teams play as little or as many games per week as needed. The Total number of Games a Team Plays Per Week option will schedule each team that exact number of games per week – until they run out of games and teams to play.

 

Please Note:

Total number of Games Per Week overrides the Max number of Games Per Day criteria. For example: if an admin were to set up a schedule with 3 Total Games Per Week and 1 Max Game Per Day, but only Tuesdays and Thursdays are the available game days, then the system will override the 1 Max Game Per Day on one of those days to ensure the 3 Total Games Per Week criteria is fulfilled.

We’re excited to announce that our new Bulk Add Fees and Discounts feature is live! Administrators can now select multiple orders at once to add a fee or discount.

This is a commonly requested feature and will be a huge time-saver for Club and Order Administrators.

 

How you Benefit

Getting heaps of new registrations is exciting for all youth sports organizations. Manually adjusting a bunch of them with added fees discounts? Not so much.

Usually, this falls on the already overworked volunteer Administrator or if you are lucky, you have a financial administrator to help.

Our new Bulk Add Fees and Discounts feature puts time back on your schedule by giving you the ability to edit as many division orders as needed all at once. Fewer clicks, quicker results.

 

When would you use this Feature?

  • Added Travel or tournament fees
  • Applying scholarships after registration
  • Weather-related refunds
  • Non-volunteer fees Â
  • End of the season expenses (parties, coaches gift)

Again, with this exciting new feature, you no longer have to go into each individual order to make your adjustments. Adding a team fee for scheduled tournaments and extra training can be done in seconds now. And we even added an auto-confirmation email to streamline the communication as well.

Two exciting enhancements to the DICK’S Team Sports HQ solution are set to launch: Net Processing and Weekly Disbursements!

If you are involved with financial transactions or bookkeeping within your youth sports organization, you definitely want to keep reading!

As you may remember,  we recently launched DIY credit card refunds, which has been a great win for our admins. Our latest financial-focused enhancements are certain to delight as well.

What is Net Processing?

In a nutshell, this means your registration money minus the transaction fees. Prior to this enhancement, there has always been two separate transactions every other week – one depositing your registration money and the other debiting the credit card transaction fees.

Starting next week – this will be combined into one transaction on our side and then deposited directly into your account.

We believe moving to Net Processing will be a big advantage for your organization’s bookkeeper. By eliminating an extra transaction on your books, it will be much easier to reconcile your accounts. Less time reconciling, more time on the field. Excellent.

Weekly Disbursements

In the past, customers using our merchant account to collect credit card payments for their programs would receive disbursements on a bi-weekly schedule. Enough of that!

Now, your organization will receive a weekly distribution of funds to your account from registration money collected. This gives you more flexibility in your finances and the ability to pay unexpected organization expenses with ease.

Please note: The end of the first weekly disbursement cycle is today (12/9) at 6 PM. You will see the first weekly invoice posted on Monday (12/12) and funds will be distributed to your bank account on Tuesday (12/13). Our new weekly disbursement process will continue in this manner from this point forward.

As part of our mission, we’re always on the hunt for time-saving solutions for our partners, the unsung hero volunteer. Along with the DIY Credit Card Refunds feature, these are great examples of our partners voicing their needs and then our team building the necessary solution. They happen for a variety of reasons. Every youth sports organization has needed to refund a credit card payment back to the parent at some point. It’s usually a lengthy process involving several steps and cutting checks back to parents.

We are excited to announce a brand new enhancement which makes it easy to refund credit card payments directly to the user’s card. You asked for it, we listened!

This has been one of our most popular requests from our partners and we are happy to report it’s now live!

You now have the flexibility to handle your refund situations quickly and with ease. It’s one more thing off your plate during an often hectic time of the year. Parents will rejoice too now that you can provide more clarity around the status of their transaction.

If you’re a treasurer or registrar tasked with managing orders from within our platform then this is a big win. Our mission is to help sports organizations spend more time inspiring kids, rather than buried in paperwork. Administrators can look forward to spending less time dealing with refunds.

We’ve created a quick tutorial that will show you how to start issuing refunds without contacting support.

Any Team Personnel can now input their own game scores! This new feature is disabled by default but can easily be enabled from your Team Directory Settings.

Team Personnel will have access to input the final score for only their home games. They can input player points for both home and away games after the final score has been posted.

There are two different methods for allowing team personnel to input scores:

System automatically posts scores
In this method, whenever a team representative submits the score for their home game, the system considers it final and posts it automatically. Admins will receive an email with the updated score.

Admin is responsible for reviewing and posting the score
In this method, whenever a team personnel inputs the score for their home game, the system updates the score for only the admin to view but does not post the score yet. The score is marked as “pending approval” on the results page. Admins will then receive an email that a score has been updated – encouraging them to navigate to their Scores page (under Schedules) to review and post from there.

[UPDATE] Double Elimination is HERE!

You asked for it, you got it! We are very excited to announce the launch of our new tournament bracket feature for all sports organizations using Blue Sombrero. This was created for in-house and inter-club competitions like an end of the season tournament.

We often hear from youth sports organizations about the time commitment needed and difficulty of setting up a simple end of the year tournament. Our goal was to create a simple, intuitive solution for anyone who would like create a simple single or double elimination competition for their participating teams.

Rank teams or randomize pairings

Key Features:

  • Instantly add your current teams and divisions to a bracket
  • Control who is playing, where they will play and at what time
  • Easily update, post, and share tourney results

The schedule will automatically be visible on the participating team’s page, the DICK’S Team Sports HQ Mobile App and regular email alerts about upcoming matches. You also have the ability to export and email the bracket after being completed.

This feature is already baked into the Schedules section of our platform and it’s super easy to create your first tournament bracket. To access the new feature, head over to the Schedules tab and find the green ‘New Schedule’ button. Cruise down to the bottom and find the ‘Create a Tournament Schedule’ to begin the setup. Click here for a detailed walkthrough.

As part of this new tournament feature release, we’ve also made enhancements to the scoring system. Coaches and Admins can now update scores and standings on a single screen which is a huge time-saver. Here’s how to update and post scores following a completed tournament result.

Attention Baseball Programs:Â you now have the ability to add pitch count to your game results!

[UPDATE] Double Elimination is HERE!

Simply select ‘Double Elimination’ as the tournament type.

Do you want to make sure your teams are guaranteed to play at least two games in a tournament? Now you can!

  • Winner and consolation brackets automatically created
  • Easily add a tournament from your Schedules page
  • Perfect for end of the season tournaments, jamborees and more!

The best part about this upgrade is how easy it is to use, simply select “Double Elimination” when creating your tournament. When you go to score the games, there is now a Winners and Consolation Bracket. Once a team loses a game, they then drop down to the Consolation bracket. If they then win the Consolation bracket, they then make it back up to the Winners bracket. If the Winners bracket champion wins against the Consolation bracket champion, then they win the whole tournament.

However, if the Winners bracket champion loses to the Consolation bracket champion, they must play a second game as that would be the Winners bracket champion’s first loss (since it is double elimination). The winner of the next game would then determine the tournament champion!

Have too many members signed up for assistant coach but not enough for head coach? No problem! You can now change a member’s position without making them re-register. Just head on over to step 2 of our team building wizard and click on the edit icon next to their position.

Your members will receive an email letting them know their position has been changed – prompting them to log in and fill out any new or required questions.

Please note: You can only change the position of a member if they have not yet been allocated to a team. You also cannot edit the position of a member if they were marked as failed during their verification process.

Please Note: This setting is disabled by default. You’ll need to enable it in order for your teams to take advantage of this new feature. If you do enable the feature, we’ll provide help documentation for your volunteers on-screen and in the system-generated email that goes out when your rosters are posted. You must add locations and fields for your volunteers to add events to. You can do this from the “Manage Locations & Fields” page in your scheduling tool.

As an admin, you can view any team events that were created from your calendar feature within your scheduling tool. You can also edit any events created by your teams. We’ve kept the same parameters in place to make sure no conflicts occur between team events and events created from your admin scheduling tool.

These team events will populate into the DICK’S Team Sports HQ app so your members can utilize all the same features they currently have with the app: Event Discussions, RSVPs, and Tasks, Directions, Field Status, and more!

We’re pleased to announce that we now offer yellow, orange, and purple options across a number of our most popular themes (in addition to our existing color selection). You’re sure to find a great look for your club or league. We released a new colors options for Atlas, Proteus, Achilles, and Chronos on the eve of 2016. They were such a big hit that we went ahead and made them available on all of our most popular themes! You can view preview each new design by logging into your site as Admin and navigating to the Themes section, or by visiting the Websites page.

How to Implement
1.  Log in to your Blue Sombrero site as an Admin, and then navigate to ‘Website’ at the top.
2.  Click on the ‘Home’ page in the website navigation bar.
3.  Go to the ‘Settings’ bar and click on ‘Themes.’
4.  Find the new theme and color of your choice.
5.  Click the select button in the upper left corner of the image.
6.  Click ‘OK’ on the confirmation message and you’re all set!
