If you have not seen our past Support Playbook editions, we highly recommend taking a few minutes at the end of each month to browse these emails. They contain a recap of the month’s product enhancements, administrator tips & tricks, frequently asked support topics, and more.

April was a huge month for releasing new features, highlighted by some of our most requested updates. One of the biggest releases in recent memory is to launch of custom Fan Wear stores for all of our partners. Not to be overshadowed is the addition of Site-Wide Events, a set of new Retention Reports, and a new website module, the Announcement Banner. Each of these enhancements is sure to make a big impact for our customers.

Our Support Team announced the upcoming addition of their new automated response system geared to offer quicker, better support for customers asking straightforward questions. Finally, admins can learn about the benefits of investing in their SEO by reading our blog series on SEO in Youth Sports.

Site Wide Events!

Our Admins have been huge proponents of our team adding Site Wide Events.

Site Wide events are applicable to all members of an Admin’s organization. They do not conflict with pre-existing scheduled events. These events can be used for club-wide events, such as picture days, board meetings, or league outings.

New Participant Reports

When it comes to being an Admin, seeing users’ and participants’ details is important; which is why our development team has been working on adding new types of “User Details” reports.

1. Inactive Participants Reports

Allows Admins to see which participants are considered “Inactive,” including any information about them. “Inactive” includes users not registered on a wait list, do not have an order in their shopping cart, and are not registered in a current program.

2. Returning Participants Reports

Admins can now easily compare participants between two different programs. This report can assist in cross-checking which participants are registered for a program and which are not.

How does this make your life easier?

With the Inactive Participants Report, if a program has players on a wait list, admins may need to contact them. All you have to do is pull a quick Inactive Participants’ report to be able to see how many participants exist, who they are, and their contact information.

When it comes to the Returning Participants Report, any Admin can cross-reference who is a new participant and who is returning from last season. *Hint, this could be helpful for decision-making purposes for a Board Member as well.

We’ve covered the basics of search engine optimization (SEO) and gone over what it means to have an optimized webpage. So, what about when it comes to your youth league’s website?

Take a look at all of the tips below for optimizing your league’s website.

Setting up your domain

A great start to gaining a better ranking is solidifying a unique domain name. So, instead of the default URL for your Blue Sombrero website, this is a domain you will purchase through an independent provider, such as GoDaddy.com.

A tip to remember while deciding on a domain is, the more readable and easier to type, the better. Having an easy-to-type URL makes it easier for online visitors to find you; meaning you receive more traffic and will be ranked higher among search engines.

When establishing a domain, you should attempt to incorporate your team’s name or organization’s name, as well as the location.

*Hint: Think about what a parent searches when interested in registering their child for a sport*

Take a look at what one of our partner’s website as an example: http://www.ondeckacademy.com/.

*Please note, it is easy to set and forget this task, but domains eventually expire and you will be required by the provider to renew them. If you don’t renew, someone may be able to snag your domain before it’s too late!

If you’re interested in changing your domain, contact adminhelp@bluesombrero.com once you have purchased a domain name through an independent provider. **Make sure to include your website URL and your new domain URL when reaching out**

 

Basic Steps to Start Optimizing your Blue Sombrero Webpage

The following steps to optimizing your webpage should be taken for each page you elect to display on your website.**

1. Log in as Club Admin or Website Manager – Admin -> click ‘Website’ from the menu bar at the top

2. You’ll see all of your Current Pages. Use your knowledge from the previous blog and use strategic keywords throughout your pages’ descriptions.

Try to incorporate your keywords and supplemental keywords throughout each page. And, don’t be stingy when it comes to creating pages! The more quality and engaging content, the better.

3. Once you choose a page and —> click ‘Settings’ (gear icon on the right side). You will see the following:

Page Name = Menu Bar

Page Title = What is shown in the browser and search engine (you can be more descriptive here)

 

4. Make sure your Page Title keyword is included in your Description. Meaning, for each page you set up, make sure to have the Title match what is in the Description as well. Consistency is key! See the example below.

When you conduct a Google search for your youth league website, this is the content that shows up under the name of your page. It gives potential visitors (aka parents or participants) a snapshot of what your website offers. See the example results below.

The Importance of Inbound Links

Inbound links are links that come from other websites and re-route to your own website.

For example, by us hyperlinking On Deck Academy’s website, search engines are picking up on this. The more often this happens, search engines will pick up on it. It looks as if
someone is ‘vouching’ for you.

The more you have from other quality sites, the better off you’ll be. So where do you find these sites?

Here are some other places to look for potential inbound links:

  • Your Social Media Pages (Facebook, Twitter, Instagram, etc.)
  • Sports Organizations or Leagues you Participate in
  • Newspaper ‘Local Sports Roundup’ Articles
  • Local Sports Blogs
  • Local Businesses Owned by Parents or Sponsors
  • Local Parks and Recreation Websites

To get you started on your inbound link efforts, log into your social media pages and add these links to the information sections of your social media pages — think “About Us” sections. You should also feature your website link throughout social media posts, especially as you get ready for a new season.

For others such as a local newspaper, this may take some extra work like emailing the local editor and making your case for inclusion.

Additional SEO Tips: Think like a Marketer

As you go through building out pages for your website, keep your goals in mind. There is no wrong goal, but beginning with these two simple ones is a great start:

  1. Keep my audience informed
  2. Gain more participants

By adding photos, videos, or other types of media not only engages your members and potential participants, but it helps your SEO ranking as well.

For example, when adding photos to your rotator, which all of our website designs are equipped with, you are able to add a URL and an image description. This could be linked to a different page on your website, or an external website, such as your organization’s Facebook page. Think like a Marketer when it comes to your youth league website!

If you need some inspiration, take a look at On Deck Academy’s pages. Their website has great examples for how content should be presented on your website, as they’ve done a fantastic job of using keywords and having quality content, social media, and photos.

The whole purpose of building a better SEO ranking is for your website to get more awareness – whether it’s current participants or future players, keep your website engaging! As we mentioned before, even small additions can be hugely beneficial so you don’t need to get carried away with this. But, if you are actively trying to improve the SEO of your site, this will be something you can continue to pursue month after month.

PRODUCT ENHANCEMENT APRIL 2018

Blue Sombrero’s integration with Affinity is taking a big step forward.

US Youth Soccer State associations who use the Affinity Sports platform require certain player and team personnel data from their members. For local clubs using the Team Sports HQ registration platform, life just got a whole lot easier!

To make registration management more streamlined for our administrators, all mandated questions from State associations will be automatically included and required within our registration forms for players and team personnel.

Including these required questions will allow our administrators to later submit their teams to their State system online. No spreadsheets, no file uploads, no manual entry!

How is this integration set up?

State soccer integration all begins at Step 1 of Registration Setup. After naming your registration program and selecting the activity type (soccer), admins will be asked to assign an Affiliation to their program. It is critical that the correct affiliation selection is made.
After the affiliation is selected, a series of additional drop-down boxes will appear in order to identify your association with the correct State association details. If these fields are not completed properly, then data will not be able to be synced accurately.

 

 

What is mandated by my State association?

This is dependent, of course, on your club’s State Association requirements. Here is a list of questions we anticipate to be required by your State association for players.

  1. Participant Photo Upload
  2. Birth Certificate Upload
  3. Drop-down/Radio/Text State custom questions
  4. Electronic Legal Agreements
  5. Custom Player & Team Personnel Compliance Questions

Here’s a sneak peek of Step 2 of Registration Set Up:

How will this affect the registration process?
Here’s a peek of what’s in store you for members:

Players may be required to upload a copy of their birth certificate, submit a photo, sign an electronic legal agreement (ELA), and any additional certifications, alongside your normal registration form.

For team personnel, if your State has required questions, an administrator will see a new section within editing the team personnel role titled Program Questions Required by your Governing Body:

Here is a list of additional questions that can be required for team personnel registration:

  1. Team Personnel Photo Upload
  2. Social Security Number
  3. Driver’s License
  4. Drop-down/Radio/Text NGB custom questions
  5. Electronic Legal Agreements
  6. Birth Certificate
  7. Additional Certifications

 

Here is an example of how these new upload questions will appear to the registrant:

How will this data be submitted?

Player and Team Personnel data will be submitted to your State association after your rosters are completely built. From the ‘Teams’ tab, admins will create rosters by adding players and personnel to each team. Next to each team will be a ‘Submit Team’ button. Once rosters are finalized, clicking this button will submit all player and volunteer data to your State, including all of the above details.

Once submitted, this button will change to a ‘Team Status’ button, which will display the approval status of the roster by your State.

To recap, the data submission process looks like:

  1. Set up registration Affiliation details on Step 1 of your registration forms
  2. Build rosters from the ‘Teams’ tab
  3. Once rosters are finalized, click ‘Submit Team’ next to each team
  4. Check the submission status of each team from the ‘Team Status’ button

Where can I report on this data?

All data collected from players, parents, and team personnel can be accessed from the Reports tab at any time. With the direct integration, there is no need to export data since this will be sent directly to your state association once teams are submitted.

If admins want to pull their own reports during the season, they can easily access this information in real time. For example, you are able to pull the information on whether users signed the required electronic legal agreements and any other required waivers.

When customizing a report, these fields can be found in the ‘Custom Questions’ section.

In the month of March, we launched two new website designs, Apollo II and Orpheus II. These offer a fresh, new appeal to two of our most popular designs. An update to Payment Plans was released that will save parents and admins a ton of time during the season. Another much-requested enhancement was an increase to the file size limit for files that users upload during registration, such as photos and birth certificates.

Team Sports HQ is driven by our customer base, and we were proud to have one of our Little League partners, North Central Little League, provide us with a success story around their experience in our Customer Spotlight section.

Finally, a refreshed on Participant and Volunteer Reports will help any admin stay on top of their enrollment numbers every season. How to Make Youth League Admin Life Easier:

Whether it’s payment collection, registration, scheduling, or any other administrative duty, it’s easy to be stuck in your ways and continue the same routine over and over again. Many youth league organizations still host in-person sign ups, manage paper form registrations and checks, and schedule games by hand because that’s the way it has been for years - until recently.

On the other hand, it’s also daunting to take on new projects and create new processesand don’t forget about getting your parents and volunteers use to it too.

But, as your organization grows and the average volunteer turnover rate continues to increase, it’s more than worth it to explore alternatives to dated paper registration setups and other manual processes.

So, what else is out there?

Luckily, there is a wide breadth of technologies available for youth sports organizations.

Most of these will make a huge impact on your time, while setting up your youth league’s organization for success in the future. Majority of today’s services can handle more than just basic signups. They can include tools to store documents and photos, create rosters, communicate, and more.

The most crucial resource for volunteer administrators is time.

SEO IMPORTANCE YOUTH SPORTS

There’s no exact formula when it comes to SEO. Every organization’s situation is different and a lot of it comes down to building a good site and being patient. Part two of our SEO Education Series will highlight the importance of on-page optimization and content management.

On-page Optimization

So, now that we know what SEO is from the first part of our SEO Education series, we can dive into what on-page optimization is. By SearchMetrics.com’s definition, on-page optimization refers to all measures that can be taken directly within the website in order to improve its position in search rankings. Generally, this includes: a page title, description of the page’s content, page keywords, a picture (or a couple), a healthy amount of content (text), and possibly some links to other pages on your site. Often, doing the baseline minimum will result in a substantial improvement.

To walk you through the image above, we have taken the bullet points most applicable to youth sports websites and listed them below.

According to Link-Assistant.com, an optimized page will have these points addressed:

1. Proper URL formatting – something easily typed and searchable

2. Relevant, keyword-rich title – something easy to read and searchable

7.  Keyword-rich site content – preferably keywords that match your titles; the lengthier, the better!

9. Multimedia – pictures, videos, and charts with appropriate alt-text – what is this?

11. External links – links to related pages that are relevant to your site

12. Social Share buttons – working social media accounts with relevant content

In the previous post in this series, it was mentioned to put yourself in a parent’s shoes; what will they most likely search? What phrases do they use? Will they include the area of your club when searching?

These questions, along with all of the SEO touchpoints above, are important to think about as you go through your website design and prepare the site title, page titles, and page descriptions to improve your website’s ranking. The better the ranking, the more traffic you will get to your page!

More does not equal better.

When it comes to content, in general, you should pick one keyword per page, and one that matches your titles. This is your focus and it should be used no more than 4-6 times per page – you don’t want the quality of the content to decrease by over-using a word. However, this does not include ‘supplemental’ keywords. Supplemental keywords relate to your main topic on that page. This process should be applied to every page that you have on your site.

 

A few example keywords for a youth baseball team, located in Georgia, to include throughout their main website page would be:

  •  Georgia Youth Baseball League
  • “Team Name” + Youth Baseball
  • “Team Name” + Youth Baseball
  • “Team Name” + “Age Range”
  • “Team Name” + “Affiliation Name”
  • “Opening Day Date” + “Field Name”

All keywords you choose are dependent on the topic of each page for your website. So, starting with something specific to your town, fields, team name, and affiliation name (if applicable) are a good start for your first Main page.

Reminder: as you get into building a better website, with more pages, you will be better able to refine your keywords and supplementary words as you go through each one.

Luckily, most admins are able to get in touch with their local audience. You can always try the following before diving into building your website:

  • Get feedback from the people who will be signing up – parents, volunteers, participants, etc.
  • Test Google Autocomplete. Whenever you begin typing in google, it will often autocomplete the most search phrases. Those are actual keywords people are using to search, take advantage of them by catering to what people are already searching for. UberSuggest is a great (free) tool for employing this approach.

SEO isn’t easy, and like we’ve said, there’s no magic trick to mastering it for your club’s website. We’ve already gone through a comprehensive overview addressing what is SEO and why it’s important, and now we’ve gone into some key points for on-page optimization.
