Registration Update: Program-level Team Personnel Questions

Need different program-level registration questions for your Team Personnel roles?

Whether it’s a Recreational versus Competitive Head Coach, a soccer versus a baseball Assistant Coach, or other team personnel roles, you’ll want to target each role with the accurate questions.

Another customer-recommended enhancement, our program-level team personnel questions allows you to ask different questions, by program, for the same volunteer role.

 

Our standard team personnel roles (Head Coach, Assistant Coach, & Team Manager) can be displayed for any registration program. In short, when a single role is made available across different programs, an admin can ask a different set of questions specific to that program rather than creating a duplicate, custom role. 

So, how do I do it?

Admins can edit team personnel questions by either selecting the ‘Team Personnel’ option from the Registration tab and navigating to the desired role, or from Step 4 in the Registration Setup Wizard, where you can edit the team personnel questions.

 

Scheduling Update: Total Number of Games Per Week

Organizations that schedule games during the week need to limit how many weeknight games can be played. When using our fully-automated (pairing with date, time, & field) game scheduler, you can ensure your teams play as little or as many games per week as needed. The Total number of Games a Team Plays Per Week option will schedule each team that exact number of games per week – until they run out of games and teams to play.

 

Please Note:

Total number of Games Per Week overrides the Max number of Games Per Day criteria. For example: if an admin were to set up a schedule with 3 Total Games Per Week and 1 Max Game Per Day, but only Tuesdays and Thursdays are the available game days, then the system will override the 1 Max Game Per Day on one of those days to ensure the 3 Total Games Per Week criteria is fulfilled.

The DICK’S Team Sports HQ team had a great run in 2017, and there is more to come in 2018!

Our team kicked off 2018 at the annual United Soccer Coaches Convention, the world’s largest annual gathering of soccer coaches and administrators. It was a great chance to visit with current partners and meet new
DICK'S TEAM SPORTS HQorganizations. The Convention was held January 18-21 in Philadelphia, Pennsylvania. This year’s was a great success, having the highest amount of attendees, around 13,300.

Didn’t attend? There’s always next year! If your organization is able to make it to next year’s convention in the Windy City (Chicago, IL), there is a huge upside to attending. The Convention provides over 250 educational opportunities, as well as the chance to meet vendors, learn more about how to seamlessly manage your organization, and discover many other valuable technologies.

So, what else happened?

The Team Sports HQ team also traveled down to New Orleans as Little League® Baseball & Softball held their International Congress, January 18-23, which takes place every four years. The congressional gathering gives a chance for field leaders, volunteers, and liaisons, alike, to travel from around the globe to represent their districts at this unique meeting.

What’s next?
DICK’S Team Sports HQ will be back on the road soon, appearing at conventions across the country to educate youth sports organizations about the development of our technology, partnerships, and integrations.

The annual National Soccer Coaches Association of America Convention was held, January 11-15, 2017 in sunny Los Angeles, California. The Convention was a tremendous success, having the second largest attendance in the history of the event.

A soccer lover’s paradise, this year’s convention was no different. Appearances by new Men’s National Team Coach Bruce Arena, an exciting MLS SuperDraft, hundreds of exhibitors from around the world, and 250+ education sessions made this year another success for attendees.

NSCAA Convention 2017The DICK’S Team Sports HQ team was there to take part in the world’s largest annual gathering of soccer coaches and administrators. The team had a great time visiting with current partners and meeting potential new ones.

The Convention was a great chance for state soccer organizations to hear more about the exciting plans underway for governing bodies, made possible by the addition of Affinity Sports to the DICK’S Team Sports HQ family in 2016. Together, the platform moves closer to a truly streamlined end-to-end registration and organizational solution for the soccer community.

A pair of exciting additions capped off an amazing year for the entire DICK’S Team Sports HQ family.

GameChanger Media and Affinity Sports were announced as the latest enhancements to the suite of digital products for youth sports provided by the DICK’S Team Sports HQ platform. Building off the success and popularity of our existing free website, registration, and league management solutions – the platform will continue to grow in value for the busy sports volunteer.

The platform continues to add more solutions and services and will remain free for all youth sports leagues – a tremendous value as youth sports costs continue to rise.

GameChanger MediaGameChanger

GameChanger is known as an amazing app for tracking game scores and stats, but they’re much more than that. They make it easy for friends and family, no matter where they are in the world to follow their favorite players in real time.

CEO Ted Sullivan discusses this unique challenge: “We actually like to say that we’re solving some of the hardest problems in sports broadcast,” he said. “The problem of one game with 1 million followers is much easier than 10,000 games [simultaneously], with a handful of followers for each one.”

The platform is mobile-first and will be a great compliment to the DICK’S Team Sports HQ App, which provides parents with the important schedule, location and team information in their pocket.

“We believe the addition of GameChanger and it’s unique in-game mobile experience to Dick’s Team Sports HQ strongly supports our efforts to provide unparalleled technological capabilities to youth and prep teams and leagues across the country,” said Dick’s Chairman and CEO Edward W. Stack.

Currently, GameChanger has focused primarily on sports like baseball, basketball and softball, but they will soon be expanding to other sports.

Affinity SportsAffinity Sports

Another exciting addition to the DICK’S Team Sports HQ family is Affinity Sports, the premier choice of database services for national and state governing bodies across the United States.

Affinity Sports provides key management services to various youth sports National Governing Bodies and large-scale organizations while integrating seamlessly with the DICK’S Team Sports HQ platform.

Affinity Sports is a powerhouse in the data center space, currently serving 24 State Soccer Associations, PONY Baseball and Softball, Rush Soccer and many other governing body organizations.

This union will provide a multitude of benefits for youth sports organizations of all types, but is of special interest to soccer clubs who will enjoy:

We’re excited to announce that our new Bulk Add Fees and Discounts feature is live! Administrators can now select multiple orders at once to add a fee or discount.

This is a commonly requested feature and will be a huge time-saver for Club and Order Administrators.

 

How you Benefit

Getting heaps of new registrations is exciting for all youth sports organizations. Manually adjusting a bunch of them with added fees discounts? Not so much.

Usually, this falls on the already overworked volunteer Administrator or if you are lucky, you have a financial administrator to help.

Our new Bulk Add Fees and Discounts feature puts time back on your schedule by giving you the ability to edit as many division orders as needed all at once. Fewer clicks, quicker results.

 

When would you use this Feature?

  • Added Travel or tournament fees
  • Applying scholarships after registration
  • Weather-related refunds
  • Non-volunteer fees
  • End of the season expenses (parties, coaches gift)

Again, with this exciting new feature, you no longer have to go into each individual order to make your adjustments. Adding a team fee for scheduled tournaments and extra training can be done in seconds now. And we even added an auto-confirmation email to streamline the communication as well.

Two exciting enhancements to the DICK’S Team Sports HQ solution are set to launch: Net Processing and Weekly Disbursements!

If you are involved with financial transactions or bookkeeping within your youth sports organization, you definitely want to keep reading!

As you may remember,  we recently launched DIY credit card refunds, which has been a great win for our admins. Our latest financial-focused enhancements are certain to delight as well.

What is Net Processing?

In a nutshell, this means your registration money minus the transaction fees. Prior to this enhancement, there has always been two separate transactions every other week – one depositing your registration money and the other debiting the credit card transaction fees.

Starting next week – this will be combined into one transaction on our side and then deposited directly into your account.

We believe moving to Net Processing will be a big advantage for your organization’s bookkeeper. By eliminating an extra transaction on your books, it will be much easier to reconcile your accounts. Less time reconciling, more time on the field. Excellent.

Weekly Disbursements

In the past, customers using our merchant account to collect credit card payments for their programs would receive disbursements on a bi-weekly schedule. Enough of that!

Now, your organization will receive a weekly distribution of funds to your account from registration money collected. This gives you more flexibility in your finances and the ability to pay unexpected organization expenses with ease.

Please note: The end of the first weekly disbursement cycle is today (12/9) at 6 PM. You will see the first weekly invoice posted on Monday (12/12) and funds will be distributed to your bank account on Tuesday (12/13). Our new weekly disbursement process will continue in this manner from this point forward.

As part of our mission, we’re always on the hunt for time-saving solutions for our partners, the unsung hero volunteer. Along with the DIY Credit Card Refunds feature, these are great examples of our partners voicing their needs and then our team building the necessary solution. They happen for a variety of reasons. Every youth sports organization has needed to refund a credit card payment back to the parent at some point. It’s usually a lengthy process involving several steps and cutting checks back to parents.

We are excited to announce a brand new enhancement which makes it easy to refund credit card payments directly to the user’s card. You asked for it, we listened!

This has been one of our most popular requests from our partners and we are happy to report it’s now live!

You now have the flexibility to handle your refund situations quickly and with ease. It’s one more thing off your plate during an often hectic time of the year. Parents will rejoice too now that you can provide more clarity around the status of their transaction.

If you’re a treasurer or registrar tasked with managing orders from within our platform then this is a big win. Our mission is to help sports organizations spend more time inspiring kids, rather than buried in paperwork. Administrators can look forward to spending less time dealing with refunds.

We’ve created a quick tutorial that will show you how to start issuing refunds without contacting support.

This enhancement came as a result of the amazing feedback we receive from our partners. We’re always working to improve your experience and love to hear your ideas.
